Smartsheet

Smartsheet is the work-management platform that refuses to hide the spreadsheet. While most project tools bury their data model under boards and cards, Smartsheet keeps the grid as the centre of gravity and hangs Gantt charts, calendars, forms, dashboards, automations, and reporting off it. In my testing that single design decision explains both who loves it and who bounces off it: if your team already thinks in rows, columns, and formulas, Smartsheet feels like home with superpowers; if your team thinks in kanban cards and threads, it feels like Excel with extra steps.

Where Smartsheet sits

This is an established enterprise product, not a startup experiment. Since January 2025 Smartsheet has been owned by Blackstone and Vista Equity Partners, taken private in a deal valued at roughly $8.4 billion at $56.50 per share, and it is no longer listed on the NYSE (source: smartsheet.com content-center news, January 22, 2025). That matters for buyers in two directions. On one hand, private-equity ownership usually means pricing discipline and slower generosity on lower tiers. On the other, the platform is deeply entrenched in large organisations, with an ecosystem of certified partners, templates, and add-on modules (Control Center, Data Shuttle, DataMesh) that few competitors match. The product line now runs Pro, Business, Enterprise, and a top tier called Advanced Work Management.

What it actually does

At its core, Smartsheet is a relational grid with four primary views — grid, Gantt, board, and calendar on every plan, plus timeline view from Business up (source: smartsheet.com/pricing features-by-plan comparison). Every plan includes unlimited sheets, forms, reports, and dashboards, rich formulas, file attachments, and mobile apps for Android and iOS. Business adds conditional form logic, workload tracking, unlimited widgets per dashboard (Pro caps at 10), and multi-sheet reports (Pro reports draw from one source sheet only). Enterprise layers on Scenario Planning, Portfolios, SAML-based SSO, unlimited attachment storage, and directory integrations. The Advanced Work Management tier is where the heavy artillery lives: Control Center for programme-level templating, Dynamic View, Data Shuttle for scheduled data movement, DataMesh, and premium support.

Automation is a first-class citizen: Pro includes 250 automation runs per month, and higher tiers raise or remove that ceiling. Newer is the conversational AI layer now listed on the Pro plan — natural-language assistance over your sheets rather than a bolt-on chatbot. Dashboards deserve a special mention: the widget system (charts, metrics, key dates, embedded content) is one of the better-executed reporting layers I have used in this category, and on Business and up it becomes a genuine executive-facing surface rather than an internal summary.

The collaboration model also deserves a closer look than the pricing cards give it. Members are the paid seats; Contributors can add and edit row content without a paid licence, and Viewers read only. In practice that split is what makes Smartsheet affordable for department-wide rollouts: the doers hold seats, everyone else participates for free. What it does not give you is fine-grained role design — if you need per-column permissions or approval gates on individual rows, you are building workarounds with Dynamic View or moving up a tier.

My testing notes

The grid is genuinely powerful. I rebuilt a marketing campaign tracker — dependencies, RYG status formulas, cross-sheet rollups — and the formula language handled lookups and conditional logic that would have required a database in lighter tools. Cell linking between sheets worked without the fragile feel of spreadsheet cross-references. Where I hit friction was onboarding non-technical teammates: the sheet view invites spreadsheet habits, and a careless collaborator can break a formula in a shared column as easily as in any workbook.

Automation setup is quick but the meter runs. I built a form-to-sheet-to-slack notification chain in under ten minutes using the visual workflow builder. It fired reliably. But 250 runs per month on Pro disappears fast when a busy intake form triggers three actions per submission; I would estimate a 20-person operations team clearing that ceiling within weeks. Automation capacity is the spec I would negotiate hardest before signing.

View parity is uneven by design. Switching a sheet between grid, Gantt, and board views preserved data cleanly in my tests, and the board view is competent for standups. But conditional logic in forms and workload tracking both stop at the Business tier, which means the plan most small teams buy (Pro) is missing two features I would consider core to the category. The 10-widget dashboard cap on Pro reinforced the same pattern: the entry tier is a sampler.

Pricing structure has real quirks. At time of writing (smartsheet.com/pricing, USD render, October 2026), Pro is $12 per member per month billed monthly or $9 billed annually, capped at 10 members; Business is $24 monthly or $19 annually. Two conditions are worth understanding before you commit. First, the live pricing page states that Pro is available only to new customers — existing customers cannot move onto it (source: allable.ai/smartsheet-pricing, quoting the live page). Second, the free plan is no longer sold at all: per the Learning Center, it exists only for users who had it before 28 August 2024, and new users get a 30-day trial instead (source: help.smartsheet.com free-plan article).

Reporting held up under multi-sheet load. I pointed one report at several project sheets to produce a consolidated status view. On the single-sheet constraint of Pro it would not have been possible at all; on Business the rollup refreshed correctly and grouped by owner as configured. This is the feature that turns Smartsheet from a tracking tool into a reporting system, and it is the clearest argument for skipping Pro.

Where it falls short

Smartsheet does not pretend to be everything, and the gaps are consistent. Resource management is present as workload tracking but lacks the depth of dedicated PSA tools. Document collaboration is limited compared with Notion or Confluence — you attach files and preview them, but co-editing lives in the connected Microsoft 365 or Google Workspace integrations rather than natively. The per-Member billing model with unlimited free Contributors and Viewers is generous until you realise every editor touches the bill.

The commercial terms are strict. The billing FAQ states plainly that no refunds are provided for unused portions of a subscription, and plan changes require 30 days' notice before renewal (source: help.smartsheet.com billing FAQ). Combined with the "Pro for new customers only" rule, that makes downgrade paths narrow. And since the take-private, roadmap transparency has decreased: there is no public changelog cadence visible to non-customers, which complicates long-term planning for new buyers.

Support and ecosystem are among Smartsheet's strongest cards: a large partner network, a template gallery, an active community, and certified learning paths mean help is usually a search away. Post-acquisition, I would still want written commitments on roadmap and pricing at renewal before an org-wide rollout — private-equity ownership has a habit of repricing at the first renewal cycle, and the published terms give a buyer little room to negotiate.

Verdict

Smartsheet remains one of the most capable work-management platforms for teams whose world is genuinely tabular — operations, PMO, construction, marketing ops, anyone running programmes with dependencies and reporting requirements. The formula engine, dashboards, and automation builder are the parts that earn the money, and the Enterprise add-on stack (Control Center, DataMesh) has no equal in mid-market tools. It is less convincing for creative teams or small groups that want a friendly board and nothing else, and the entry tier's feature gating plus strict refund policy are real costs of entry. I rate Smartsheet 4.1: core functionality depth is high across planning, automation, and reporting (the 40% slice), value is fair at $9-19 per member annually but gated at Pro, usability is excellent for spreadsheet-native teams and mediocre for everyone else, and the ecosystem and enterprise reliability signals are strong. Rated 4.1 for depth of planning and reporting features, mature automation, and enterprise-grade governance, held back by tier gating and rigid commercial terms.
