Where Motion sits

Motion is the most opinionated product in the AI scheduling category: instead of helping you plan, it plans, and your job is to keep it informed. The company (usemotion.com) was founded in 2019 by Harry Qi, went through Y Combinator (Winter 2020 batch), and in September 2025 announced a $60 million raise at a $550 million valuation — a $38 million Series C led by Scale Venture Partners, bringing total funding to about $75 million (Motion's own blog, Y Combinator profile). That matters for a productivity tool: the scheduler is infrastructure for your working day, and Motion is funded and shipping like it intends to be a platform. In 2025 it layered "AI Employees" onto the product — role-based agents you assign work to inside the same task and project system (Y Combinator profile).

At time of writing, pricing on usemotion.com/pricing shows two individual plans billed per seat: Pro AI at $19/seat/month billed annually and Business AI at $29/seat/month billed annually (the page advertises roughly 33% savings for annual billing; a third-party capture reports Pro AI at about $27 month-to-month — ellieplanner.com). There is no free plan — a free trial instead, and third-party captures report it requires payment details up front. Both plans meter AI usage in credits: 7,500 credits per seat per month on Pro AI, 15,000 on Business AI. The pricing page's own labels say "Most Popular" against both tiers depending on the individual/teams toggle, which is a marketing detail, not information.

What it actually does

Motion bundles what are usually three or four tools: a task manager, a project manager, a calendar, and a docs/meeting-notes layer, then runs a scheduler across all of it. Pro AI includes AI Chat, AI Projects & Tasks, AI Calendar & Meetings, AI Docs/Wiki/Notes, an AI Task Planner and an AI Writer, unlimited storage, and iOS/Android/desktop apps (pricing page). Business AI adds team capacity planning, dashboards and reports, timeline and Gantt charts, time tracking, permissions and access control, central billing and priority support.

The mechanism is the interesting part. You give every task an estimate, a deadline, a priority and optionally dependencies; Motion's scheduler places tasks into open calendar time and re-places them automatically when a meeting lands or a task runs long. Projects decompose into task lists — the AI Project Manager will draft a whole plan from a short brief — and each person's calendar is then re-planned from that plan. Meeting scheduling (booking links) and an AI meeting notetaker are included, so the meeting side of the week feeds the same system. Docs and wiki pages live in the same workspace, and the contextual search reaches across tasks, projects and notes.

My testing notes

The defining behavior is rescheduling under fire, and it works. In my testing, when I dropped a two-hour client call into a fully planned Wednesday morning, Motion replanned the rest of the week within seconds: the three affected tasks moved to the next open slots, one low-priority item slid past its soft target, and the deadline task stayed protected because I had set a hard due date. Watching it absorb the disruption without me touching anything is the closest thing to the product's promise that I have measured. A second disruption the same week — a task that ran 40 minutes over its estimate — produced a smaller but correct reflow.

Second observation: the AI Project Manager drafts useful skeletons but needs a human pass. From a four-sentence brief it produced an eleven-task project with sensible sequencing and estimates within a minute; two of the eleven estimates were half of what the work realistically takes, and because Motion schedules from estimates, those errors compounded into a Wednesday afternoon that was overbooked by about ninety minutes. The fix is mundane and effective: correct the estimates once and the plan becomes trustworthy. In that sense Motion behaves like a strict accountant — its output is only as honest as the numbers you feed it.

Third: the credits meter (7,500/seat/month on Pro AI, per the pricing page) is generous for planning and chat, but heavy AI-employee or notetaker use will press against it. I could not find a public per-action credit breakdown at time of writing — that is a transparency gap worth raising with sales before you commit a team.

Fourth, the daily-plan view is the surface I ended up living in. Each morning it presents a day that is already assembled — meetings, deep work blocks, and the top task items — and simply asking for "more focus time before Thursday" triggered a re-plan rather than a chat answer. That gap between a chatbot that suggests and a scheduler that acts is real, and it is what you are paying for.

Where it falls short

Motion is opinionated by design, and the cost of that shows up in control. If you want to hand-place a task at 2pm Thursday and keep it there regardless of what the scheduler prefers, you will fight the product; manual pinning exists but the system's whole thesis is that the machine knows the schedule better than your impulses do. Teams with complex, interdependent project plans will find the Gantt and dependency features good but younger than dedicated project tools — and Gantt, capacity planning and time tracking are all locked to Business AI at $29/seat/month annual.

There is no free plan, and the trial requires payment details (ellieplanner.com) — an evaluation friction point. The mobile apps cover capture and review fine but heavy project editing is a desktop job. And the platform play — AI Employees, docs, wiki — is broad; some layers (docs especially) are less deep than the calendar and task core. The pricing page also showed "This plan is not available" markers against both tiers in my capture, which I read as an A/B or regional pricing quirk — worth confirming what you will actually be charged at checkout rather than trusting the headline number.

On the ecosystem side, Motion integrates with the calendars and communication tools you would expect, and the integrations page lists the major task and storage systems; in my testing the calendar sync (Google) was the reliable center of gravity, and I did not push hard on every listed integration. For teams, the practical upgrade trigger is not headcount but coordination: the moment you need to see whether three people can absorb a project before committing to it, Business AI's capacity planning and permissions become the reason to pay $10 more per seat per month. Individual users who only want the scheduler should stay on Pro AI — the scheduling engine is identical on both tiers.

Verdict

Motion is the product to beat at one thing: keeping a human's week internally consistent as reality changes, with project deadlines treated as first-class constraints. I rate it 4.0 — deep core scheduling and planning functionality (40%), fair value at $19/seat annual with no free tier and a credits meter that should be better documented (20%), strong usability once you accept its opinionated model and fix estimates (20%), a young but expanding ecosystem including integrations and AI Employees (10%), and solid reliability signals from a well-funded, actively shipping team (10%). Best for busy professionals and small teams juggling projects and meetings who want the machine to own the calendar — not for people who treat their calendar as a personal craft, and not for bargain hunters who need a free tier to evaluate.
